Job Summary:

As an Administrative Support Specialist and Maintenance Worker, you will provide administrative and clerical support to the department as required and directed, including collecting and compiling data into various Agency computer systems and prepares reports. Additionally, you will assist in all functions associated with the maintenance and care of all facilities owned and operated by CPNJ.



What You Will Do:

Administrative Responsibilities:

  • Provide administrative support to the Facilities Department, including maintaining organized records of work orders, maintenance schedules, and inspection reports.
  • Assist with scheduling facility repairs, vendor appointments, and preventive maintenance across all sites.
  • Process invoices, purchase orders, and supply requests, ensuring timely follow-up and documentation.
  • Maintain the department's electronic and hard-copy filing systems, ensuring compliance with agency standards and audit requirements.
  • Coordinate with internal departments and external vendors to ensure facility-related requests are addressed efficiently.
  • Support leadership with data entry, reporting, and preparation of departmental updates or summaries for meetings, including calendar management for C-suite Executive and general services team.
  • Serve as a central point of contact for facility-related inquiries and administrative tasks, ensuring smooth communication between departments.

Facility and Maintenance Responsibilities:

  • Maintain all owned and leased office facilities, ensuring safe and functional environments. Duties include coordinating daytime cleaning services, snow and ice removal, debris removal, and minor repairs as indicated by work orders.
  • Conduct general maintenance such as light bulb replacement, outdoor area upkeep, removal of unusable equipment, and monthly inspection of emergency equipment (e.g., fire extinguishers, emergency lighting).
  • Prepare meeting and training rooms to accommodate workshops, conferences, and special meetings.
  • Maintain residential homes by performing minor repairs and ensuring grounds are clear and orderly, as indicated by work orders.

Driving and Operational Support:

  • Operate agency vehicles to transport supplies, equipment, personnel, and documents as needed.
  • Assist with client transportation, deliveries, and removal of debris or records from agency facilities.
  • Aid with Emergency Preparedness requirements
  • Assist all programs with emergency evacuation and relocation procedures as needed.
  • Maintain readiness of emergency supplies and ensure clear communication channels during emergency situations.


What We Are Looking For:

  • High School diploma (HSD) or General Education Degree (GED)
  • Experience in maintenance and general knowledge of use of tools
  • Valid Driver's license required and must be insurable by agency's automobile insurance.
