Administrative Support Specialist- Crisis & Community Services

Job Summary: 

You will greet the public, clients, and visitors to the agency, operate a telephone system to answer incoming calls and direct callers to appropriate personnel and provide clerical assistance, in person and virtually, by performing the duties below.

Schedule requires two evenings and traveling for position is based on Division needs.

What You Will Do:

  • Provide administrative and clerical support to management, staff, and clients, which may include in-person or virtual administrative tasks such as typing, record keeping maintenance (e.g., program, client charts), filing data collection, billing preparation, insurance verifications, report preparation, consumer contact log tracking and reporting, and data entry. Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Serve as a greeter and provide support to program prescribers, managers, staff, and clients for all virtual/in-person appointments
  • Answer the telephone and provide routine information. Communicate in a positive, friendly, and professional manner to assist clients (over the phone and in person).
  • Schedule appointments, conduct appointment confirmations/reminder calls to patients, and enter appointment dates and times into the computerized scheduler and case conference organization
  • Verify, review, and update demographic and insurance information in the agency's electronic health record
  • Verify and monitor insurance benefits eligibility and authorizations and update coverage in the agency's Electronic Health Record.
  • Collect payment at the time of service and/or collect past balances from the client, virtually or in-person, through agency processes
  • Perform weekly billing entries to ensure proper services are released for reimbursement.
  • Scan clientele documentation in electronic health records to secure accurate record-keeping
  • Provide administrative support in weekly team meetings by reserving rooms, preparing agendas, and taking meeting minutes.
  • Effectively present information and attend weekly and/or monthly in one-on-one and small group situations to the program teams, clients, and other employees of the organization


What We Need to See:

  • High School diploma (HSD) or General Education Degree (GED) and
  • Two years minimum receptionist experience in the medical or mental health field
  • A valid Driver's license required and must be insurable by the agency's automobile insurance.
  • Knowledge of Patient Accounting systems - Evolv NX, MyAbility, Navinet, Availity, Smart Client Kiosk, and NJMMIS is a plus.
